TPRF VOLUNTEER - Montreal Rotary International Club Convention

The Rotary International Convention (RIC) will take place in Montreal from June 19 to 23, 2010. As part of that event, there will be an exhibition where The Prem Rawat Foundation (TPRF) will have a stand.

The purpose of our participation to that event is to promote the humanitarian work of The Prem Rawat Foundation and create a partnership between TPRF and the Rotarians. TPRF and Rotary Clubs have already collaborated in Niger and Pakistan.

Attendees will be coming from everywhere around the World. These people are involved in their communities.

People interested in participating to that event have a passion for the humanitarian work of TPRF, are fully informed about TPRF (especially the Humanitarian activities) and about the aims and purpose of Rotary International. The information can be found on TPRF and Rotary International websites.

If you wish to participate to this event, or if you have questions, please contact Gaetan Tremblay. The main activity will be to be present at the stand during the convention, but there are also needs for translation, printing and the preparation of the stand.

Organizing the New Montreal Non-Profit Organization

The Montreal task team that was assigned the task of recommending a plan of action for the formation of a new local entity to manage local activities and finances is proposing that a new non-profit organization be formed in Montreal.

The main purpose of this organization is to promote and support Prem Rawat’s (Maharaji’s) work on a local basis including the management of local finances to support activities and events.

The new organization would be comprised of people to start, a president, a secretary treasurer and a director of events and activities. It is recommended that the duration of the position is for a minimum of one year. The new directors will be responsible for drafting the more specific guidelines for the directors and the organization once in place.

Here are the descriptions of the director positions. These descriptions may be modified by the new directors once the organization has been formed and is operational.

President

The role of the President is to assure that the new organization has a plan in place to manage local finances and activities in order to support and promote Prem Rawat’s work in the Montreal region.

  • The President is to work closely with the directors and assure that they have the tools they need to do their job.
  • The President is to act as local contact with organizations such as WOPG, INTELLA, TPRF and others that are recognized as official supported of Maharaji’s work. This includes an event with Maharaji in Montreal.
  • The President is responsible to assure that the community is kept informed of new developments regarding local events supporting Maharaji’s work, through the various communication mediums that are in place.
  • Term: 1 year.
  • Hours per week: Estimated at 4-5 but may vary according to time of year etc.
  • Skills required: Bilingualism, good communicator, understanding of basic accounting and financial reports, good listener.
  • Reports to the members of his team and the Montreal community.

Director of Events

The Director of Events has the responsibility of assuring the events and activities in the community are happening and well organized to support Maharaji’s work and the needs of the members of the community.

  • The Director of Events will work with volunteers to make the events happen such as Event Directors, Key Library Managers, Knowledge Review Session Managers, etc.
  • Term: 1 year.
  • Hours per week: Estimated at 2-4 but may vary according to time of year etc.
  • Skills required: Bilingualism, good communicator, good listener, and good ability to organize and work with people.
  • Reports to the President.

Secretary-Treasurer

The role of the Secretary-Treasurer is to manage the finances and accounting of the new organization in order to support and promote Prem Rawat’s work in the Montreal region.

  • The Secretary-Treasurer works closely with the volunteers, including the President and the Director of Events.
  • The Secretary-Treasurer performs bookkeeping of income and expenses using an accounting software.
  • The Secretary-Treasurer manages financial transactions and informs the other directors.
  • The Secretary-Treasurer creates and manages a budget according to planned activities.
  • The Secretary-Treasurer reimburses expenses in accordance with the budget.
  • The Secretary-Treasurer maintains the relationship between the financial institution and the organization.
  • The Secretary-Treasurer communicates regularly the financial situation to the organization.
  • The Secretary-Treasurer prepares the annual financial report.
  • Term: 1 year.
  • Hours per week: Estimated at 2-3, but may vary according to time of year etc.
  • Skills required: good communicator, good knowledge of accounting and bookkeeping practices, good listener.
  • Owns a computer.
  • Reports to the President.

Community Development Task Team

Purpose & mission

The purpose of the Montreal community task team is to collect information from the community members and make recommendations to the community on how a new entity should be formed to manage local finances and plan and organize events and activities. This includes recommendations on whether to keep the local community center, close it or move it to another location.

The task team will need to consult the results of the questionnaire survey that has been prepared to send to the community members on the email contact list. The team would also need to consult with Elan Vital Canada and Words of Peace Global to gain information about new upcoming developments and plans that may affect the local community.

Mandate

The team is to be made up of volunteers who are interested in Maharaji's work and are willing to commit to work as a team to discuss the information available and come to a consensus on recommendations. Volunteers should be knowledgeable about the activities of the Montreal community and willing to meet with the members of the team a sufficient number of times in order for the team to draw up clear recommendations to the community.

The team must prepare a simple report and present it to the community at a meeting date to be determined.

Team members must be good communicators and able to listen well and clearly express their own point of view.

The recommendations should be ready by the end of February.

Local Introductory Events

A team has prepared guidelines, support material and information that can be used to plan and host local introductory events. Audio-visual support is available if required and volunteers are ready to help.
